Terms of Use

Last updated: October 18, 2026

These terms are the agreement between you and VendInventory (Toronto, Ontario, Canada), the company that runs VendInventory. In them, “we” means VendInventory, “the service” means the VendInventory website and its driver app, and “you” means the business that opens an account and the people who use it.

By creating an account or using the service you agree to these terms. If you do not agree, please do not use the service.

1. What the service is

VendInventory is software for running vending machines: products, locations, machines and their planograms, trips and a driver app, sales received from card readers, tasks, vehicle mileage and reports. It is a tool for business use. It is not accounting, tax or legal advice.

2. Your account

  • The person who registers is the owner of the account and must be able to act for the business.
  • Give true information when you register, and keep your email address up to date: it is how we reach you.
  • Keep your password to yourself. You are responsible for what is done in your account, also by the users you add to it.
  • You decide who your users are and what each of them may see and do.

3. Free trial

A new account can be used free of charge for one week. No payment card is asked for. When the trial ends the account is paused until you subscribe; see section 6. We may make a trial longer for an account; we do not have to.

4. Price and payment

  • The price is $2 CAD per machine for each month, for the number of machines your account has room for. The smallest account has room for 5 machines; room is added 3 machines at a time.
  • Prices are in Canadian dollars (CAD) and do not include taxes. Taxes that apply are added.
  • Paying online is not available yet. Until it is, we arrange payment with the owner of the account directly, and the account is updated once payment is received.
  • Users, drivers and customer logins are not charged for.
  • If we change the price, we will tell the owner of each paying account by email at least 30 days before the new price applies to that account.
  • Amounts already paid are not refunded when you stop using the service part-way through a period you paid for, unless the law says otherwise.

5. The machines your account has room for

Your account can hold as many machines as it has room for. When it is full, a new machine cannot be added until you ask for more room and pay for it. If the room of an account is lowered below the number of machines already in it, no machine is removed; the account simply cannot add another.

6. When an account is paused or closed

  • An account is paused when its trial has ended or when the period paid for has ended. While it is paused, its users cannot use the service. Sales sent by your card readers may continue to be received.
  • Pausing does not delete anything. Your data is kept so that you can continue where you left off.
  • We will not delete the data of a paused account without first writing to the owner at the email address of the account.
  • You can ask us at any time to close your account and delete its data.
  • We may pause or close an account that breaks these terms, puts the service or other customers at risk, or is not paid for. Where we reasonably can, we will tell the owner first.

7. Your data

  • What you put into your account is yours. We use it only to provide the service to you, to keep the service working and safe, and to help you when you ask.
  • Each account is kept separate. Other customers cannot see your account.
  • You are responsible for having the right to enter the information you enter, including information about your staff, your drivers, your locations and your customers.
  • The same goes for files you import: bring in only spreadsheets of your own data, taken from systems you are allowed to take them from.
  • You can take your figures out at any time through the reports, which open in Excel and PDF.
  • How we handle personal information is described in our Privacy Policy.

8. Card readers and other companies

Sales reach your account from the card readers on your machines. Those readers and their networks belong to other companies, such as Cantaloupe and Nayax. We are not part of those companies and do not speak for them. What they send, when they send it, and whether they send it at all is outside our control, and you need your own agreement with them. Their names and trademarks belong to their owners.

9. Fair use

  • Use the service only for your own vending business and only in ways the law allows.
  • Do not try to get into another customer’s account, to get around the limits of your own, or to disturb or overload the service.
  • Do not resell the service or give others access to it as if it were your own product, unless we have agreed to that in writing.
  • Do not copy the service or take it apart to build a competing one.
  • The service, with its software, design and wording, belongs to VendInventory. These terms give you the right to use it through your account while the account is open, and nothing more.

10. Our access to your account

To help you when you ask, to fix a fault, or to keep the service safe, an administrator of ours can open your account and see what its users see. Every such visit is recorded. We do not use this to look at your business for any other purpose.

11. The service as it is

  • We work to keep the service running and correct, but we do not promise that it will always be available or free of faults.
  • The figures the service shows depend on what you and your drivers enter and on what your card readers send. Check them before you rely on them, in particular for money, tax and commissions.
  • We may change, add or remove parts of the service. If a change takes away something important that you pay for, we will tell you beforehand.
  • To the extent the law allows, the service is provided as it is, without any other promise or warranty.

12. Limit of our responsibility

To the extent the law allows: we are not responsible for lost profit, lost sales, lost stock or other indirect loss that comes from using the service or from not being able to use it; and our total responsibility to you for everything connected with the service is limited to the amount you paid us for the service in the twelve months before the event that caused the loss. Nothing in these terms limits what the law does not allow to be limited.

13. Ending

You can stop using the service at any time. To have your account closed and its data deleted, use the contact address shown at the foot of our home page. Sections 7, 11, 12 and 15 continue to apply after an account is closed.

14. Changes to these terms

We may change these terms. The current version is always on this page, with the date it was last updated. If a change is important, we will tell the owners of accounts by email before it applies. Using the service after a change means you accept the new terms.

15. Law

These terms are governed by the laws of the Province of Ontario and the laws of Canada that apply there. The courts of Ontario decide any dispute about them.

16. Contact

For any question about these terms, use the contact address shown at the foot of our home page.
